THE ROLE:
To ensure the security and safety of Premises, property, staff and visitors, including the observance and adherence to fire precautions. To assist in providing an effective and efficient high-quality security and car parking service with a strong emphasis on the quality of service provided to the client, staff, visitors and contractors within premises and car parks in accordance with SIA guidelines, Company and client specifications. Leading a team of security officers at the nominated depot.
RESPONSIBILITIES:
- Be responsive to service needs as they arise and to constantly seek to improve the productivity and quality of the service.
- Lead the team of security officers in ensuring they complete their duties in line with policy and processes.
- Train new starters on security duties.
- Serve visitors by greeting, welcoming, and directing them appropriately
- To be the first security point of contact for staff, employees and members of the public that are accessing depot in vehicles
- Ensuring that security measures are being enforced and adhered to. This will involve on the spot I.D. checks and entry point physical checks, reporting of any security breaches, issues with access control system and processes.
- Notify company personnel of visitor arrival. Inform visitors by answering or referring inquiries. Ensure visitors are processed in accordance with access control procedure/policy.
- Provide a a front of house service for the Depots in line with support from Front of House Officers – dealing with enquires from all stakeholders (staff, visitors, and members of the public and external contractors) in a smart, professional and efficient manner.
- To liaise with contractors and suppliers regarding delivery and collection and accept deliveries of items/supplies to the depot/client, transferring to other areas as required
- Direct visitors by maintaining employee and department directories.
- Build good relationship with all staff, contractors and visitors who frequently use depots, ensuring persons needs are met by either providing answers if known, or seeking help if required.
- Maintain security by following procedures, monitoring logbook, and issuing visitor badges.
- Operate telecommunication system by following manufacturer’s instructions for house phone and console operation. Answer all telephone calls promptly and professionally. Follow GDPR guidelines and have security in mind when sharing information over the telephone.
- Monitor depot mailbox, ensuring all emails are dealt with, categorized, and organized in relevant folders.
- Be a champion of the administrative tasks within depot front of House by ensuring all paperwork is filed correctly and securely, archived or destroyed in timely manner and stored in such a way that colleagues know where to find relevant paperwork. Continuously look in-to ways to reduce paper-based systems and transfer as much of administration as possible to IT systems.
- Champion depot front of house IT systems by setting up shared files, managing mailboxes and all relevant files in accessible and organized manner, but also ensuring that both depots work in line with each other and have system set-up in same way with shared folders to ease usability by all staff.
- Be first point of call for colleague who seek to report issues, faults or local cleaning requirements as well as security incidents by assisting with submitting reports via CRT, SIRV or electronic IRF system.
- To accept and record all lost property and dispatch to the TfL on the appropriate dates.
- To operate access control systems, reporting issues and issuing/checking visitor cards and access cards as required. Ensure all persons entering depot have visitor badge or staff pass. In idle time monitoring via access control system screen who enters the depot.
- In heightened security regime, completes random pedestrian bag searches and other tasks as directed by client.
- To assist the in managing the Health and Safety of the depot and its stakeholders, including the safe evacuation of depot in the event of a fire alarm activation. Under guidance from the allotted Fire Safety Marshall
- To support the Facilities team to report maintenance issues to the relevant departments via the internal systems.
- Update the depot ANPR, in regard to vehicle access and egress.
- Efficient distribution of parking permits both temporary and permanent.
- Update weekly log in regard to foot visitors, deliveries and parking non-compliance.
- Compile weekly staff shift sheets regarding staff hours.
- Ensure that all relevant reports KPI’s etc are sent through to the security manager/ client in a timely manner.
- Keep a safe and clean work area by complying with procedures, rules, and regulations.
- Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Contribute to team effort by accomplishing related results as needed.
- Ensuring that all items of lost property are logged and dealt with correctly. Compiling of relevant lost property reports effectively and efficiently in line with requirements. Ensuring that lost property is ready for collection on the prescribed day, as per local arrangements.
- Have an ability to analyse and formulate reports regarding: Parking Non-Compliance, weekly patrols, period reports and check sheets.
- Ensuring that any required check sheets are compiled and submitted within the given time frame.
- Ensure confidentiality, privacy and dignity is maintained at all times in accordance with the Data Protection Act and in line with Company and policy, where appropriate.
- Conduct yourself in a professional manner whilst on Trust and Company premises. To operate in situations of a highly emotive and sensitive nature. To remain calm and in control and to possess a strong sense of Customer Service.
- An ability to deliver to timescales accurate and detailed reports. With an ability to communicate and formulate said reports through email.
- Assists management to monitor and audit performance of Security Officers, ensuring all patrols are completed, car parking checks reported, and vehicle access control is dealt with appropriately. Act as a team leader when on shift and lead by example.
SKILLS:
- Ability to read and write English, with a good level of spoken English.
- An ability to use Microsoft applications/software and ability to be trained on other in-house software.

LICENCE REQUIREMENTS:
- You must have a current SIA Door Supervisor Licence.
- Possession of a First Aid at Work Certificate and/or Fire Marshal is desirable.
- Valid Driving Licence
INTERVIEW REQUIREMENTS:
- Eligibility documents needed at interview: Passport or Full Birth Certificate; Utility Bill showing current address and dated within 3 months; Proof of National Insurance (Payslips cannot be used) such as NI card, P45, P60, benefits or HMRC letter.
